Overview

Lead team in managing contract documentation of large construction projects.

Responsibilities

  • Manage procurement team in the tasks below as well as perform the work below
  • Responsible for monthly contract deliverables (schedules, reports, labor sheets)
  • Prepare and verify contracts and associated paperwork to prepare a complete contract package
  • Maintain and retrieve contract records and filing systems
  • Check submitted documents for completeness and compliance with regulations and policy
  • Update and maintain spreadsheets and contract orders
  • Prepare, reformat, and edit statements of work from multiple sources
  • Validate receipt of requested items by reviewing packing slips
  • Investigate any missing or incomplete orders
  • Enter data into reporting systems
  • Maintain records on closed contracts/invoices and, in accordance with regulations coordinates shipment of contract files to and retrieval from Federal Records Centers, coordinate destruction of files
  • Maintain invoice reporting logs
  • Prepare paid and unpaid invoice status reports
  • Resolve Invoice problems in coordination with the purchasing agents or contracting officer
  • Prepare past performance reports for applicable contracts using the Contractor Performance Report database and tracks the status of reports
  • Provide information and assistance to program staff on a variety of procurement matters.
  • Organize data on procurements, vendors, and government customers.
  • Perform quality assurance on data related to procurements
  • Make recommendations for improving record keeping, data tracking and data utilization

Qualifications

  • Education: 
    • Bachelor’s Degree or additional years of related experience
    • 5 - 7 years’ experience in related field
  • Required Knowledge/Experience:
    • Successful Project Management experience
    • Experience interfacing with management required
    • Leadership and core business/interpersonal skills
    • Attention to detail a must
    • Ability to multi-task in a fast paced environment
    • Ability to establish relationships with Business Teams
    • Familiar with common metrics used in the IT industry
    • Experience with and strong grasp of Microsoft Office Suite, especially Excel
  • Preferred Knowledge/Experience:
    • Database Management a plus

  • Perform other tasks consistent with the goals and objectives of the department/contract
  • Perform other duties as assigned by the Program Manager
